How We Work
Stella Polare Travel is delighted to help you create, book and experience the trip of your dreams! We create and book customized itineraries to include accommodations, transfers, activities and anything else that will make your trip special. While you are enjoying your trip, we are monitoring and managing your travels every step of the way and are there for you if you need assistance.
As a client of Stella Polare Travel, you have exclusive access to valuable amenities at Virtuoso-affiliated properties and other properties where we are "preferred partners" due to our affiliation with Brownell, a Virtuoso Member, giving you access to the best that travel has to offer!
Once the planning is complete, the arrangements with hoteliers, tour companies and other suppliers are secured with the credit card provided in the Credit Card Authorization. You will be provided with all payment information and cancellation policies of the suppliers in advance.
We also provide services to research and book hotel, cruise, and tour packages for you. If you know the exact hotel, cruise, or tour package and dates, we can book those for you on your behalf as well without the added research component.
Services Provided
Stella Polare Travel is available from 9:00am to 4:00pm CT Monday to Friday except for holidays. Clients will receive advanced notice of any time off while working on a trip for them. Stella Polare Travel may communicate with you via phone calls, video conferencing, or emails. Information discussed live will be confirmed via email.
Hours & Communication
The non-refundable design fee varies per trip and is based upon the number of travelers, destinations, the level of complication anticipated and other factors. The minimum design fee is $750 for research and development of a fully customized itinerary and covers up to three reasonable itinerary revisions. Other types of travel may be subject to different fee structures. The design fee shall be collected prior to the commencement of trip planning. See the Investment page for more information.

Quotes & Cancellations
Prices and availability are applicable to the date and time at which they are received, are subject to change, and are not guaranteed until payment is received. Quotes in a foreign currency are subject to fluctuations in exchange rates and international credit card issuer fees.
If you cancel your trip after the deposit payment, you will be charged the cancellation fee(s) charged by the hotel, tour company, or other supplier. Stella Polare Travel may charge up to 15% of trip cost as a cancellation fee. Fees paid to Stella Polare Travel are non-refundable.
Stella Polare Travel always recommends the purchase of travel insurance to cover certain risks inherent in travel such as supplier bankruptcy and the inability to travel due to a medical or personal emergency. For every trip, you will confirm whether or not you will obtain insurance. See the Insurance section below for more information about travel insurance services we can provide.
